Coordinator of Enrollment & Bookstore Services (Wichita)

Job Summary:

The Admissions Representative is responsible for the implementation of the admissions recruitment plan through campus visits and events, high school visits, college fairs, adult education fairs, academic advising, billing and receiving, financial aid, and other recruitment strategies as assigned by the Director of Admissions.

Admissions Duties:

  • Implement all aspects of the admissions recruitment plan.
  • Make initial contacts with high schools and community organizations to initiate interest in the College.
  • Make follow-up contacts to prospective students on a regular basis through high school visits, education fairs, adult education fairs, phone calls, e-mails, scholarships, and letters.
  • Maintain accurate records and follow up recruitment activities in admissions department databases.
  • Travel and attend various events including; business visits, high school visits, college planning conferences, KACRAO annual admission conference, and any other school or community events that arise.
  • Assist with planning and implementing campus visits and event days.
  • Recruit students according to the standards, guidelines and practices established by the Kansas Association of Collegiate Registrars and Admissions Officers (KACRAO) and by the College.
  • Assist with updating student demographic and academic information in the admissions database.
  • Assist with the development of a recruitment program for returning adult students, including contacts with Business & Industry, Vocational Counselors, the Pre-Release Center and students who complete their GED.
  • Assist with the development of recruiting materials, brochures, handouts, and other printed materials.
  • Act as a liaison between assigned academic divisions and the Admissions Office.
  • Assist faculty, coaches and/or activity sponsors with recruiting efforts.
  • Provide guidance to students on the completion of their college application, assessment, enrollment, financial aid, and business office processes.
  • Determine payment options and accurately receipt and deposit funds when working with students.
  • Direct students on the navigation of student information systems such as Campus Connect, Blackboard, EXi and C-mail.
  • Monitor student progress and follow-up as directed.
  • Manage and maintain accurate academic records and information in the CLAWS and Jenzabar EX Systems.
  • Keep current on advising and enrollment information by active participation in the Advisor Alerts online course.
  • Provide students with graduation and transfer information including the degree applications and CAAP/WorkKeys assessments.
  • Provide scholarship information and assistance with the application processes.
  • Serve as primary referral point for all student questions.
  • Evaluate student’s degree plan, transcripts while enrolling in proper classes.
  • Provide knowledge to students on information regarding course transfer ability and alternatives for continuing education opportunities.
  • Assist in the daily functions of the Outreach Bookstore in the absence of a Bookstore employee (Wichita only).
  • Schedule and proctor tests for instructors/students, both from Cowley College and other Colleges.
  • Guide students utilizing the current LMS in the student computer lab.
  • Serve as contact to students for current program and other necessary information.
  • Provide student referrals to appropriate areas (Student Life Counseling, Disability Services, IMPACT, and Career Center).
  • Maintain courteous, professional and effective working relationships with employees, vendors and/or any other representatives of external organization.
  • Comply with all College policies and procedures
  • Assist the Director of Admissions by performing other related duties as assigned.

Bookstore Duties:

  • Provide friendly and knowledgeable customer experience.
  • Manage Bookstore employees and Admissions Representatives to ensure excellent customer experiences, provide meaningful growth opportunities and deliver direction and motivation.
  • Ensure that financial controls and procedures for handling cash are being adhered to, including balancing daily sales.
  • Generate and maintain cash and charge tickets in support of cash sales, third party sales, scholarship sales and financial aid sales.
  • Communicate effectively with Bookstore, Business Office and Financial Aid staff to ensure student charges and refunds are handled in an efficient manner.
  • Manage the receiving and verifying of inventory and maintain fully stocked sales floor; organize displays of merchandise to achieve maximum utilization of space and eye appeal.
  • Follow physical controls and procedures for inventory including the transfer of inventory to and from the Wichita Bookstore ensuring adequate inventory levels at each store and conduct the annual year-end inventory of merchandise.
  • Conduct textbook buy-back at the conclusion of semesters. Clean and mend returned merchandise in preparation for a new semester.
  • Maintain courteous, professional and effective working relationships with employees, vendors and/or any other representatives of external organization.
  • Comply with all College policies and procedures
  • Assist the Director of Auxiliary Services by performing other related duties as assigned.

Required Knowledge and Skills:

  • Self-motivated and able to work in a fast-paced environment.
  • Ability to maintain professional composure in stressful situations.
  • Proficiency in Microsoft Office, Office 365, social media, Jenzabar EX, Google, Zogotech, and other databases.
  • Ability to accurately handle and balance cash receipts.
  • Professional knowledge of community college and other postsecondary institutions.
  • Ability to research and analyze various types of information.
  • Ability to work independently, as well as on a team.
  • Ability to work and maintain the highest level of confidentiality.
  • Good communications skills, both written and verbal.
  • Ability to organize and prioritize work. Work well under deadline pressures.
  • Excellent human relations skills. Ability to work with individuals from a variety of backgrounds and diverse populations.
  • Understanding of and commitment to Academic Quality Improvement Program.

Required Education Background:

  • Bachelor’s Degree

Required Experience:

  • Customer Service experience.
  • Handling of cash and receipts.
  • College Admissions and advising experience, preferred.
  • Bilingual in Spanish, preferred.
  • Valid Driver’s License.

Ability to sit or stand for extended periods of time; ability to move freely around the campus, outreach centers, and regional locations; ability to lift up to 20 pounds; ability to bend, stoop, reach and grasp as required to perform responsibilities; ability to drive motor vehicle; and ability to work on the computer for long periods of time; motor vehicle travel.

Work Environment:
Work performed in an office environment, around campus and off-campus. Periods of intense travel, including weekends and evenings required.

Jenzabar System Analyst

Location: Arkansas City Main Campus

Position Reports To: VP Information Technology

Job Summary:

The Jenzabar System Analyst is responsible for supporting production, ongoing development, upgrades and system enhancements for the Jenzabar EX software system for Cowley College. This person will serve as the instructional liaison between the College and Jenzabar EX Support Services.

Position Duties:

  • Provide systems analysis, problem solving, and necessary programming support to ensure optimum Jenzabar EX system functionality use and capabilities.
  • Collaborate with and lead user groups through process and business data decision activities related to Jenzabar EX and other enterprise systems.
  • Regularly meet with user groups to understand evolving Jenzabar system needs specific to various administrative departmental areas.
  • Act as a liaison between the college and Jenzabar EX Support to resolve issues and enhance capabilities.
  • Provide timely communication and discussion with users about impact of necessary changes.
  • Attend training, meetings on new features and enhancements to the Jenzabar EX program to maintain high level of product knowledge in areas of assigned responsibility.
  • Complete other tasks as assigned.

Required Knowledge and Skills:

  • Ability to facilitate problem-solving among administrative groups with varying needs and priorities
  • Ability to discuss SIS attributes, capabilities and features to those with varying levels of technical understanding.
  • Excellent interpersonal skills with administrative users, technical staff, and support functions.
  • Strong organizational skills and project management.
  • Ability to be proactive, take ownership of assigned responsibilities working with moderate supervision.
  • Understanding of Higher Education and the flow of student affairs and financial/accounting disciplines is helpful.
  • Strong understanding of technical troubleshooting methodology.

Required Education Background:

  • Bachelor’s degree in Computer Science, Information Technologies or related field, or an equivalent combination of experience, education and training.

Required Experience:

  • Four (4) or more years’ experience working in ERP or SIS systems is required.
  • Comprehensive knowledge of SQL and database structures (i.e. scripting)
  • Minimum of three (3) years’ experience in Jenzabar EX SIS is preferred.
  • Minimum two (2) years’ experience with ERP application support including technical design.
  • Experience working with database reporting tools, particularly InfoMaker and ZogoTech is desired.
  • Experience in education technology preferably in higher education.

Public Safety Officer-Reserve — Part-Time Opportunity

Location: Arkansas City Main Campus

Cowley College is seeking a reserve Public Safety Officer. Reserves are needed to ‘fill in’ during required shifts. This is a part-time position.

The Public Safety Officer promotes lawful behavior and protects the welfare of students, faculty, staff, and visitors as a uniformed presence on campus. This position performs foot and vehicle patrols of the College campus and outreach centers to monitor behavior, secure buildings and property, investigate disturbances, maintain order during events and enforce regulations. In addition, this position monitors the physical safety of campus and center buildings by locking and unlocking doors, patrolling and monitoring using surveillance systems, and reporting suspicious behavior. During emergency situations, the officer responds to the scene, provides first aid, and alerts additional police or emergency personnel as appropriate. Other duties may include monitoring alarm systems and responding to alerts and serving as crowd control at special events.

Required Education/Training Background:

  • High School diploma or equivalent.
  • Associate’s Degree in Criminal Justice or related degree, preferred.
  • CPR, AED, and First Aid certification.
  • Taser Certification.

Required Experience:

  • Minimum of 2 years of security and/or public safety experience. Law enforcement certification, preferred.
  • Current valid driver’s license with favorable driving record.
  • Must be able to pass a criminal background check.
  • Must be able to pass a pre-employment drug screen.
  • Must be able to complete MMPI Psychological Evaluation on file (within most recent 24 months).
